Minutist

Three channels, three different answers

What goes where.

Free build

Fully local. Nothing sent.

The free build runs entirely on your machine. Recording, transcription, speaker labelling, note-taking, summarisation, and chat all happen locally. No account, no telemetry.

The only network operation the free build makes is the model download you start yourself. There is no server behind it. The MCP connector is a local endpoint on your machine; meeting content moves only when your own assistant client reads a meeting you chose (see the connector channel).

Sync channel · connected tier

End-to-end encrypted. Server sees ciphertext only.

The connected tier can sync your notes and transcripts across your own devices. This channel is end-to-end encrypted: our server brokers the connection and store-and-forwards ciphertext for offline devices, but it never holds your plaintext. Only devices you authorise can decrypt it.

Connected tier (AUD$20/yr)

Connector channel · free build

Sends meeting content to the AI provider. By design.

The MCP connector lets Claude or Codex read your meetings when you ask them to: your own assistant client reads the meeting you choose from the app's local endpoint and sends it to the AI provider. That is the point of it. We do not call this channel private or encrypted; it is not.

The connector only activates when you explicitly ask the assistant to read a meeting. It is never on by default and never automatic.

See the security page for the full split and a data-flow diagram.

Who runs Minutist

Minutist is operated by Andrew Leech (ABN 99 204 041 267), a sole trader in Victoria, Australia, who is the data controller for any personal data the connected tier holds. This policy is governed by the law of Victoria, Australia. Reach us at [email protected].

Account data

The free build requires no account. The connected tier requires an email address to sign in; your email and sign-in credentials are held by our identity provider, and your subscription state and paired-device list by the account service, only to run your subscription. You can delete your account at any time from the desktop app's Connection settings: that erases your email, credentials, and every paired device from our live systems straight away, and they roll out of our encrypted backups within 28 days. (Polar keeps its own billing records as tax law requires; see Payments.)

Your data rights

The free build keeps nothing of yours on our systems, so there is nothing there for us to export or erase. For the limited account and billing data the connected tier involves, you can ask us for a copy, ask us to correct it, or delete your account (which erases it, as above) at any time by emailing [email protected]. Where statutory data rights apply to you (the Australian Privacy Principles, the GDPR), those rights hold; if you are unhappy with how we handle a request, you can complain to your data-protection authority (in Australia, the OAIC).

Payments

Payments run through Polar, our merchant of record. To process a subscription, Polar receives your name, email, and payment details and retains billing records as the law requires. Minutist never sees or stores your card details.

Logs and diagnostics

The free build writes logs locally on your machine and sends nothing. The connected tier's server components keep short-lived operational logs (which can include IP addresses and device identifiers, never meeting content) for security and reliability; these roll over on a rolling basis.

Third-party AI providers

When you use the connector, the meeting content you choose is sent to the AI provider, currently Anthropic (Claude) and OpenAI (Codex, ChatGPT). Their privacy policies govern how they handle it.
